Overview
Duties include but are not limited to:
Office Support, HR and General Coordination
Comprehensive, ongoing, self-directed and accountable general office management.
Suggest protocol here needed, suggest new systems as needed, think of organizational efficiency and take control according to skill set.
Establish protocols for administrative needs as needed.
Manage office email communication and calendar.
Oversee records of all expenditures and support the accountant as needed.
Basic website maintenance for events and newsletters.
Database maintenance.
Manage all staff and subcontractor insurance info, drivers license, car insurance, background checks, timesheets and HR needs.
Establish hiring protocol, training expectations, and support planning and facilitation of staff training.
Support for CultureSeed Board of Directors, prepare reports as needed.
Meet regularly with the Executive Director to establish goals and review ongoing tasks.
Outreach, Development, and Donor Stewardship
Establish protocols and support donor stewardship effort.
Database creation for donor stewardship
Grant research, database, and general support.
Budget familiarity and expense tracking for grants.
Support for CultureSeed events.
Procure potential auction donors for events.
Procure potential food sponsors for outings, gatherings and events.
Community Program Support
Point person for CultureSeed Community Programs and basic administrative requests.
Establish protocols for Community Program basic administrative needs, onboarding, and evaluations.
Program Support
Establish consistent organization-wide evaluation process and data collection.
Analyze pre and post evaluations to create analytics to use in grants.
Support our programs as needed and establish protocol for engaging and tracking
outfitters that can support outings
new program sponsors or partners etc.
Manage an internship program:
establish protocol for engaging and tracking potential internship matches in our region;
establish protocol for youth internship onboarding
Track outcomes
Manage administrative needs for the Outdoor Mentorship Program:
Establish protocols for mentor onboarding and expectations
Communication with mentors and mentee families to ensure all paperwork is returned
Track mentors on spreadsheet
Mentor training logistics and planning
Manage administrative needs for our Year-Round Youth Cohort:
Establish protocols for youth onboarding and expectations
Manage youth contracts
Track attendance
Support various CultureSeed initiatives as needed.
Qualifications:
Spanish bi-lingual strongly preferred.
Knowledge of Columbia Gorge strongly preferred.
Experience in an office setting, and working with a diverse population strongly preferred.
Proven ability to self-start, prioritize, and meet deadlines.
Access to reliable transportation in the Columbia Gorge.
Proficient in Google Drive, Google Docs, Sheets and Forms and/or has Apple experience and ability to quickly learn.
Ability to pass a background and driving record check.
