Overview

Position Summary:
The Staff Accountant will be responsible for Accounts Payable & Budgeting related transactions of The School for Field Studies (SFS), including reimbursements, credit cards, and refunds. The Staff Accountant will help manage and administer our budget process, and will monitor, analyze, and report monthly performance of the organization’s budget. Along with ensuring timely transaction processing, the Staff Accountant will take on the daily administrative and operational tasks that contribute to the general efficiency of SFS headquarters.

Responsibilities and Duties:

Accounts Payable (A/P)
-Manage all functions of Accounts Payable
-Review, code, and process A/P check requests
-Process and distribute A/P checks
-Respond to inquiries from vendors
-Maintain A/P system records
-Prepare and distribute 1099, 1098, 1096 and other related tax forms
-Handle the A/P monthly reconciliations – review, correct, and distribute reports to managers
-Audit employee expense reporting to ensure compliance with SFS policy
-Process student refunds
-Manage expense reimbursements for all SFS employees
-Manage employee credit card inquiries, expenses allocations, and online statement and payments
-Reconcile all general ledger (G/L) accounts related to A/P activities

Budgeting
-Create and evaluate budgets and cost projections for departments, centers, and projects
-Create consolidated SFS budget for review by management team
-Review budget proposals for completeness, accuracy and compliance with SFS policy
-Ensure that all expenditures are held within approved budget limits, process approved budget changes and adjustments, and produce reports, as required
-Monitor spending
-Analyze and interpret accounting records
-Assist in maintaining expenditure controls
-Conduct cost-benefit analyses to determine program or project efficiency
-Prepare monthly metric reports, internal management reports
-Prepare, maintain, and analyze balance sheets, income statements, and other financial records and reports
-Enter budget data and adjustments into financial accounting software and reconcile any differences
-Collaborate with directors and managers to support center and departmental goals and objectives
-Review center expenditure and corresponding back-up of receipts

General Ledger (G/L)
-Assist in the month-end closing and distribution of monthly financial statements
-Reconcile selected general ledger accounts during the year to maintain correct account balances
-Provide data on these accounts to auditors during year-end audit
-Prepare journal entries on a monthly basis
-Assist the Finance Department with audit-related issues and projects

Additional Duties
-Communicate with co-workers, management, and others in a courteous and professional manner
-Execute special projects as needed
-Provide training to new staff and Center bookkeepers
-Assist with other Finance department tasks as needed

Qualifications:

BA/BS in Accounting
2-5 years of experience in a related position at a public or private organization or non-profit. Experience in higher education preferred.
1-3 Years of experience in budgeting and experience managing budgets
Experience in standardized financial software packages; Sage Intacct, Salesforce preferred.
Versed in MS Office Suite 365
Thorough understanding of GAAP and internal controls, with the ability to articulate applicable policies and procedures
