Overview
The Administrative Assistant provides on-site administrative and operational support at Red Top Meadows. This role is highly collaborative and flexible, supporting technology coordination, facilities tracking, and general administrative functions that keep TYFS running smoothly.
Essential Job Functions:
Administrative & Office Support
Serve as on-site administrative support at Red Top Meadows. Help VVH & HCC as needed with administrative support.
Schedule appointments for residents.
Prepare all necessary student intake and departure documents and ensure all necessary forms and information are completed, filed, and tracked.
Manage court documents, clinical documents, school records, medical records, and incident reports, and gather pertinent school documents.
Assist the Clinical Director with managing referrals including uploading documentation, coordinating interviews, and updating the tracking sheet.
Monitor the use of petty cash and review all receipts.
Check PO Box twice weekly and distribute mail appropriately
Assist HR with obtaining signatures and processing required documentation
Managing the hiring dashboard to track staffing needs and new hires.
Technology & Systems
Manage administrative functions of the Alleva CRM in coordination with the Clinical Team
Be the point person for coordination with the IT management company to repair any issues.
Assist staff with navigating technology systems and troubleshooting issues
Facilities & Operations
Assist with tracking the necessary repairs, scheduling them, and ensuring they are done in a timely manner.
Support general operational needs as they arise
Other duties as assigned
Qualifications:
High School Diploma, experience with computers, including Windows 11, Google software, Excel, and Word, and the ability to work with various people with highly confidential material. Must be very organized and pay attention to detail. Must be 21 years of age. TYFS requires all employees and volunteers for the organization to go through background checks and fingerprinting to ensure the safety of those we serve. Employees must have a valid drivers license and a vehicle to get to and from work.
