Overview

COR Expeditions is looking for a full-time Administrative Coordinator to keep the behind-the-scenes magic running smoothly. From managing communications and timesheets to invoicing clients, updating the website, and organizing trip logistics, this role is the administrative backbone of an adventurous mission-driven team. It’s perfect for someone detail-oriented, friendly, and excited to support life-changing wilderness experiences—all while occasionally jumping into the field and fundraising with purpose. Primary Job Responsibilities:
1. Coordinate all-staff communications by managing the COR staff email and text groups, setting recurring
meeting invites, and updating the COR Trips Calendar.
2. Collect timesheets, check for overtime, and document the amount due to each staff member for that pay
period.
3. Support Account Management and Donation Summaries.
4. Orient and train new staff in all administrative policies including but not limited to timesheets, expense
approval and reimbursement, petty cash use, document and information access, submission of required
forms, etc.
5. Receive invoices payable, business credit card receipts, and reimbursement requests and code the
expenses appropriately and ensure the proper supporting documentation is included prior to budget
manager approval and submission to the business office.
6. Invoice clients for the final balance due on their course and follow up as needed until payment is received.
7. Facilitate payment collection for merchandise sales and the WCC Outdoor Leadership Program trips, gear
rental, late fees, and faculty/staff participation fees.
8. Maintain the COR/OLP Petty Cash Box and reconcile it regularly.
9. Manage merchandise inventory and sales.
10. Keep the website updated – e.g. staff and missionary pages, upcoming trips, course information and
registration pages, and other edits as needed.
11. Maintain accurate and organized records and filing systems for important documents.
12. Compile and present statistical information and projections of interest to the Leadership Team and
Board: e.g. number to trips, enrollment, demographics, types of clients, etc.
13. Onboarding, personnel files, and certification records upkeep.
14. Assist with COR marketing efforts such as promotional emails, staff Christmas cards, and general
communications with partner organizations and diocese contacts.
15. Coordinate transportation and lodging for course chaplains and ensure compliance with diocesan
requirements for their participation.
16. Enable effective communication between COR and the WCC Office of Internal Advancement and WCC
Admissions Office so they can reach out to course participants.
17. Daily administrative duties related to office supply management.
18. Other duties as assigned

Qualifications:

Bachelor's degree or equivalent experience.

Preferred Skills:

Experience in outdoor education field instruction with a reputable institution.

Bachelor’s in Business or related field

1–2 years admin/office work

Clean driving record; van/trailer experience

Initiative and creative problem-solving

Current WFR & CPR certifications

COR Expeditions is an outreach program of Wyoming Catholic College in Lander Wyoming. COR serves to both provide the WCC collegiate outdoor program as well as courses for outside students.
